Google Calendar · Apple Calendar · Outlook

Your pool route in Google Calendar, Outlook or Apple Calendar. Subscribe once, and it keeps itself current.

Every person on your team gets a private link to their own route stops and open tasks. Add it to Google Calendar, Apple Calendar or Outlook once, and the calendar keeps reading the schedule from Pool Runs. Nobody copies stops by hand.

What's in the feed

Your stops and your tasks. Nothing else leaves Pool Runs.

The feed is built per person, from what is assigned to them. It's read-only: Pool Runs publishes, the calendar app reads, and nothing written in the calendar comes back.

The window

A week back, 60 days ahead.

Enough to look back at last Tuesday and plan the next two months. Older and later stops stay in Pool Runs.
What stays private

Name and address, nothing more.

A stop's gate code, access notes, readings and price never go into the calendar. They stay in the app, behind your team's sign-in.
Refresh

The calendar app sets the pace.

Google, Apple and Outlook each re-read subscribed calendars on their own schedule, so a change can take a few hours to appear.

Setting it up

Four steps, per person. About a minute each.

Anyone on the team with access to Settings, technicians included, can copy their own link. Admins can't read another person's link, so each person sets up their own calendar.

Why a feed and not a two-way sync

One schedule, one place to change it. The calendar only shows it.

Two-way calendar sync is how a stop ends up in two places at two different times. Keeping Pool Runs as the only place a stop can move means the route, the technician app and the invoice always agree.
Moving a stop

Drag it in Pool Runs.

Reschedule from the calendar, map or timeline in Pool Runs, and the stop moves in the technician's route and in their calendar feed together.
Personal appointments

They stay in your calendar.

Pool Runs never reads your calendar, so a dentist appointment or a school pickup stays private. Subscribed calendars sit beside your own.
A new hire

Their own link on day one.

Every team member has a separate link with only their own stops and tasks. Admins can't read another person's link.
Calendar integration FAQ

Questions about the connection. Plain answers.

Does Pool Runs sync with Google Calendar?

Yes, through a private calendar link. Each person on your team copies their own link from Settings and adds it in Google Calendar under Other calendars, then From URL. Their route stops and open tasks show up there and keep updating. The same link works in Apple Calendar and Outlook.

Is the calendar sync two-way?

No. The feed is read-only. Pool Runs publishes the schedule and your calendar app reads it, so moving an event in Google Calendar or Outlook doesn't move the stop. Reschedule in Pool Runs and the calendar picks up the change.

How long does a change take to show up?

Calendar apps decide when to refresh a subscribed calendar, so a change made in Pool Runs can take a few hours to appear. For same-day changes, check the technician app or the schedule in Pool Runs.

What does each technician see?

Only their own work: the route stops assigned to them, minus any that were skipped, and their open or in-progress tasks. The feed covers the past week and the next 60 days. A stop shows the customer's name and the address. The pool's gate code, notes and readings stay in Pool Runs.

What if someone shares their link by mistake?

Reset it. Anyone with the link can read that person's schedule, so it should be treated like a password. Resetting creates a new link and the old one stops working in every calendar that used it. Then subscribe again with the new link.

Does the calendar feed cost extra?

No. Calendar links are part of the core plan, from $45/month with 50 properties included, and every person on the team can have one. There are no per-user fees.
