Set up your trucks, vans, office and warehouse as locations and split them into bins. Track each item with its quantity, unit and cost, and set a minimum that shows right beside what’s on hand. Assign crew to each truck so you know who runs it.

At the supply house, the tech takes a photo of the receipt. Pool Runs reads the line items off the photo, the tech checks them, and the purchase is recorded before the receipt ends up in the door pocket. Stock lines go into inventory. A deposit, a core charge or a delivery fee can be unchecked and still counts as purchase history.

Purchases Land in QuickBooks as Expenses
Switch on expense sync and each recorded receipt is sent to QuickBooks Online as a Purchase, with the photo of the receipt attached. Pool Runs matches the vendor by name and creates it if it’s new, and the payment type follows the account the purchase was paid from. Fuel and history
Fuel Fill-Ups and a Record of Every Change
Techs log fill-ups from the phone with the gallons, the total and the odometer reading. Every change to stock goes into an activity log with the name of the person who made it, so you can see where a case of tabs went.
